Administrative Assistant

Purpose of Position

The Administrative Assistant plays a vital role in ensuring the efficient day-to-day operations of the Niislaa Naay Healing House Society (NNHHS). This position provides comprehensive administrative support to the Health Director, Board of Directors, Operations Manager, and other management staff as required. The Administrative Assistant reports directly to the Health Director and provides administrative support to the Board of Directors, Operations Manager, and other management staff as needed.

Duties and Responsibilities

  • Assist the Health Director in managing health programs in alignment with the Health Plan and funding authority requirements. Provide administrative support to the Operations Manager and other management staff.

  • Prepare agendas, materials, and minutes for Board, Health & Safety, and Staff meetings.

  • Support Program and Community Engagements and create monthly newsletters.

  • Code and submit invoices to the Finance team for payment.

  • Maintain Vehicle Fleet Sign-Out Records, Trip Records, and Inspection Checklists.

  • Oversee program and service delivery records for statistical and reporting purposes.

  • Respond to inquiries and requests for information from community members and staff.

  • Assist in onboarding new and relief staff, including orientation to the Health Centre.

  • Maintain confidentiality of client information and adhere to NNHHS Confidentiality Policy.

  • Ensure compliance with professional and legal guidelines for health staff record-keeping.

Knowledge, Skills, and Abilities

  • Awareness of or willingness to learn about traditional Haida culture and values.

  • Strong written, verbal, and listening communication skills.

  • Basic understanding of financial procedures, including record keeping, filing, and reporting.

  • Patience, tolerance, and sensitivity to diverse needs, ensuring respect and fairness for all individuals.

  • Ability to manage and adapt to shifting priorities.

  • Conflict resolution and crisis management skills.

  • Reliability and a strong work ethic.

Minimum Qualifications

  • Grade 12 Diploma or GED.

  • Certificate in Office Administration & Technology or Administrative Assistant Program.

  • Satisfactory Criminal Record Check under the Criminal Record Review Act (Ministry of Public Safety and Solicitor General).

  • Proficiency in computer applications, including word processing and spreadsheets. • Experience with Adagio Accounting Systems is an asset.
