Receptionist

Location: 347 Eagle Ave, Gaw Tlagee – Old Massett

Wage: $23.40-$25.33

Type: One-year Term position

 

Purpose of Position

The Receptionist position will be a one-year term. The Receptionist is responsible for providing clerical and administrative support to ensure that the Health Centre services are provided in an effective and efficient manner. The Receptionist reports to the Operations Manager

 

Duties and Responsibilities:

·        Answer telephone calls in a timely manner, take messages and redirect to appropriate staff member, and handle caller inquiries whenever possible.

·        Greet and assist all visitors to the Health Centre in a friendly, supportive manner.

·        Maintain an adequate inventory of office supplies.

·        Maintain office equipment and arrange for servicing as necessary

·        Oversee the security of the photocopy/office supply store-room.

·        Develop knowledge and understanding of the TEAMS telephone system

·        Perform general office duties – processing incoming and outgoing mail, photocopying, conducting internet searches for information on request.

·        Schedule appointments for visiting specialists and programs

·        Maintain attendance records for clinics and update client information  

·        Manage booking of meeting spaces

·        Maintain strict confidentiality with client and staff information

·        Assist with dental reception duties when necessary

·        Perform other related duties as required

Education and Training:

·        Grade 12 Diploma, GED

·        Valid Drivers License

·        Satisfactory Criminal Record Check according to the Criminal Record Review Act, Ministry of Public Safety and the Solicitor General

·        Current enrolment or graduation from a college diploma program in a related field an asset

·        Computer skills including the ability to use spreadsheet and word processing programs proficiently.

Knowledge, Skills and Abilities:

·        Knowledge and understanding of traditional Haida culture and values and/or an interest and willingness to increase awareness

·        Effective written, verbal and listening skills

·        Ability to manage within an environment of changing priorities

·        Strong conflict resolution and crisis management skills

·        Strong attention to detail and organization skills

·        Reliable with a sound work ethic
